Every case scores itself.
A student answers the same five questions about what they actually did in the room. Five of five is a First Scrub, one to four is a Second Scrub, none is an observation. The role is worked out once, when the case is submitted, and stored on the record, so a number can never quietly change underneath a student who already graduated.

Students clock in and out of their shifts from the phone in their pocket. If you want it, each punch records where it happened and compares it with the site, and you decide how far away is too far.
Nothing ever blocks a punch
Not a refused location, not a dead signal, not a shift miles from anywhere. A student standing in an operating room at six in the morning always gets to clock in. Anything unusual is recorded and marked, never refused.
Clean shifts approve themselves
A shift with nothing odd about it can approve itself, so the only ones waiting for you are the ones that need you. Prefer to see every shift? Turn that off and they all wait.
The original punch survives every correction
When a time is edited, what was first clocked is kept beside it. Years later, a reviewer can still see both.
The whole record, in one download.
When a student finishes, or an accreditation body asks, you pull one spreadsheet. It opens on a progress summary, then every case they logged, then their hours, then a tab for each specialty holding that specialty's approved cases.
The numbers in it are the same numbers you have been looking at all year. The file does not recalculate anything, which is why the spreadsheet and the screen can never disagree.

The same portal runs a hospital's students and new hires. Your setups become the reference they carry into the room, and the surgeon who watched them work can sign for it without an account.
Preference cards they will actually open
Write up a case once, with the back table, the mayo stand and the surgeon's own preferences, and it is on every phone in your program. Each instrument on it links to the library, so a new hire can look up the one they do not recognise.
Students write the case before they scrub
Turn on the shared feed and students post their write up ahead of surgery for their classmates to read. You choose whether that means their own class, the whole program, or everything once they graduate.
Preceptors sign without signing up
The student shows a code on their phone, the preceptor scans it and confirms the cases they supervised. No account, no password, no app. A signature is an attestation, not an approval, and your program still reviews the case.
